Landscaping software: costs and comparison 2026 – what pays off for which business
What landscaping software costs: price ranges with sources for industry software, CAD, CRM and AI visualization, and a checklist showing which category actually solves your bottleneck.
The question of what landscaping software costs can only be answered seriously for each category. Industry software for quotes, cost estimates and invoices, CAD for planning, CRM for client management and AI visualization for the client meeting solve different problems and are billed differently. This article classifies the four categories, gives price ranges with sources and helps you decide which of them actually solves your bottleneck.
In short: According to a public price overview, trade and industry software usually costs around €10 to €60 per user per month, and purchase versions a few hundred to just over a thousand euros one-off. For professional CAD, resellers in Germany usually do not publish prices. AI visualization is available as a monthly subscription or usage-based; at GardenPilot a typical client project comes to approx. €17–25 net, with no subscription.
A note up front, so that you can put this article in context: we build GardenPilot Professional, a tool for AI visualization. So we have an interest in one of the four categories. That is why we follow two rules: we do not name other vendors with prices and feature lists, because these quickly become outdated. And for our own product, we say just as clearly what it can not do.
The four software categories in landscaping
Anyone searching for “landscaping software” means one of four very different categories. They complement each other, but they do not replace each other.
| Category | What it does | Typical costs | Who it makes sense for |
|---|---|---|---|
| Industry software / ERP | Cost estimates, site measurement, bill of quantities, quote, invoice, partly payroll | usually around €10–60 per user per month, purchase versions a few hundred to just over a thousand euros, plus setup and training | Landscaping businesses where the commercial side is the bottleneck |
| CAD / garden planning software | 2D/3D planning, working drawings, detail drawings | Subscription or purchased licence; prices for Germany mostly only on request | Landscaping businesses with their own planning |
| CRM / client management | Contacts, enquiries, follow-up reminders, following up on quotes | usually per user per month, often part of the industry software | Landscaping businesses with many parallel enquiries |
| AI visualization | Design images on the photo of the client's garden for sales and concept | Subscription models approx. €49–199 net per month; at GardenPilot usage-based approx. €17–25 per client project | Landscaping businesses that want to convince in the client meeting |
Industry software / ERP
The backbone of the commercial side of the business: cost estimates, site measurement, bills of quantities, quotes, invoices, partly payroll and post-project costing. The public price overview of a comparison portal lists monthly prices of around €10 to €60 per user for trade and landscaping software; individual purchase versions cost between approx. €350 and €1,200 one-off. Depending on the vendor, setup and training come on top, and they are easily underestimated. Calculate the entry cost honestly: licence plus implementation plus the hours your team puts into the switch.
CAD and garden planning software
For working drawings, sections and detail plans, there is no way around real planning software. In Germany, professional landscape planning software is mostly sold through resellers, and they usually only give prices on request. In any case, the bigger cost factor is often not the licence but the training: good CAD work requires someone in the business who masters the tool and uses it regularly.
CRM / client management
CRM systems manage contacts, enquiries and follow-up reminders. Many industry solutions already include basic client management. The real price of a separate CRM is data maintenance; there is a dedicated section on this further below.
AI visualization (the new category)
The newest category starts where classic software leaves a gap: at convincing. From a photo of the client's garden, design ideas for the actual property are created in a few minutes; the house and the viewpoint stay recognizable, only the garden changes. Since 2026, some vendors of industry software have also offered AI visualization as an add-on module, usually as a monthly subscription. Public pricing pages list approx. €49 to €199 net per month for it (as of October 2026). At GardenPilot, by contrast, you pay per project, with no subscription and no industry software. How visualization is used in the meeting is described in the article Visualizing garden plans in client meetings.

Decide by bottleneck, not by feature list
The most common mistake when buying software: the tool with the longest feature list is bought instead of the one that solves the current bottleneck. Ask yourself one question beforehand: Where are you currently losing time or jobs?
- Bottleneck administration: Quotes take too long, post-project costing does not happen, invoices go out too late. Your lever is industry software.
- Bottleneck sales: You explain with words and reference photos of other people's gardens, and the client wants to “sleep on it”. Your lever is visualization.
- Bottleneck construction planning: Sites start with unclear plans, details are improvised on site. Your lever is CAD and the person who masters it.
The categories complement each other. Industry software does not make convincing images, a visualization tool does not write invoices, a CRM does not plan a construction site. If you take this into account, you buy in a more targeted way and avoid three half-solutions to the same problem.
CRM in landscaping, honestly assessed
A separate CRM pays off if you have many parallel enquiries, several people work in sales and quotes are to be followed up systematically. It then prevents enquiries from getting lost and quotes from not being followed up by phone.
What a CRM does not solve:
- It does not make a quote better. It only reminds you to follow it up.
- It does not convince a client. The decision is made in the conversation.
- It does not estimate costs and does not measure anything.
- It does not maintain itself. A CRM that nobody feeds is a data graveyard with a monthly bill after three months.
For smaller landscaping businesses with a manageable volume of enquiries, the client management in the industry software is often sufficient. A separate CRM is only due when enquiries demonstrably slip through the cracks.
Who AI visualization is suited to
AI visualization is particularly suited to landscaping businesses that
- mainly serve private clients who do not read plans;
- design in the mid-range to upmarket segment, where the client has to choose between directions;
- have no planning department of their own and still want to show an image early;
- do not use industry software with its own visualization module or do not want to take out a subscription for it.
It is less suitable if you mainly handle public contracts based on bills of quantities or if the client brings finished plans from a landscape architect.

AI visualization in practice: what GardenPilot costs and what it cannot do
For the other categories we work with ranges. For our own product we can be specific. All prices net plus VAT, no subscription, no contract commitment, credits valid for 12 months:
- Professional Entry: €75 for 30 credits (enough for around 3 client projects)
- Professional Growth: €300 for 150 credits (recommended on the pricing page)
- Professional Scale: €850 for 500 credits
You use the credits per step:
| Step | Credits |
|---|---|
| Project start with three design ideas on the photo | 3 |
| each additional variant | 1 |
| detailed concept with modules, materials, colour palette and planting concept | 5 |
| garden plan (top view) per concept variant | 3 |
| client folder as PDF or protected link | 0 |
As a rule of thumb: A typical client project comes to around 10 credits, i.e. approx. €17–25. The full overview is on the pricing page. How the folder is used in the presentation meeting is described in the article Client presentation in garden design.
And now the part you will hardly read in any software comparison, what GardenPilot is not:
- No CRM and no client management. You continue to manage contacts and enquiries elsewhere.
- No commercial software. No cost estimating, no bill of quantities, no site measurement, no GAEB interface (the German data exchange standard for construction tenders), no invoices.
- No construction site, resource or deployment planning.
- No replacement for CAD construction planning. The garden plan is a top view with concept accuracy and estimated proportions: good for showing the client the layout, but not working drawings with sections and details.
- No planting plan with plant counts and no quantity take-off.
GardenPilot complements your industry software in the sales and concept phase; it does not replace it. The AI itself also has limits that you should know about. We have written them down in the article Limits of AI garden planning.
Test before you pay
Anyone looking for a demo usually wants to see the tool on their own case rather than in a polished presentation. Three rules for every category:
- Test with real data. Your own project, a real site measurement, a real client garden, not the vendor's sample project.
- Let the person who will later work with it do the testing. Usability is judged by whoever uses the tool every day.
- Calculate the total costs. Licence plus setup plus training plus maintenance. For most categories, the monthly fee alone is only half the truth.
With GardenPilot you do not need a demo appointment. You register free of charge, and after activation your first client project is free: the project start with three design ideas and the detailed concept. Additional variants cost credits. This way you can see on your own case whether the quality holds up for your client meeting before you pay anything.
Decision checklist: 7 points before buying
- Bottleneck identified? Administration, sales or construction planning: buy for the problem that is currently costing you time or jobs.
- Total costs calculated? Licence, setup, training and maintenance effort over 12 months, not just the monthly fee.
- Subscription or usage-based? With a fluctuating workload, models without a base fee are often easier to budget for.
- Tested on a real case? Your own project, your own data, your own client garden, before signing.
- Clear what the tool cannot do? If the vendor gives no clear answer to this, that is a warning sign.
- Does it fit with what stays? New software must complement the existing software, not set up a second system alongside it.
- Payback roughly estimated? What has to happen for the tool to pay off, for example one more job or two hours less per quote, and how realistic is that for you?
Frequently asked questions
What does landscaping software cost?
That depends on the category. According to a public price overview, trade and industry software usually costs around €10 to €60 per user per month, purchase versions a few hundred to just over a thousand euros, plus setup and training. For professional CAD, resellers in Germany usually do not publish prices. AI visualization is available as a subscription (approx. €49–199 net per month) or usage-based, at GardenPilot approx. €17–25 per client project.
Is there free landscaping software?
Some vendors have free basic versions; full-featured industry software is hardly ever available free of charge in the long term. It is more realistic to test for free. At GardenPilot, the first client project is free: project start with three design ideas and the detailed concept.
What does GardenPilot Professional cost?
There are three credit packages without a subscription (net plus VAT): Entry €75 for 30 credits, Growth €300 for 150 credits and Scale €850 for 500 credits. The project start costs 3 credits, each additional variant 1 credit, the concept 5 credits, the garden plan 3 credits per concept variant, the client folder nothing. A typical client project comes to around 10 credits, i.e. approx. €17–25.
Does GardenPilot replace my industry software or my CAD?
No. GardenPilot is not commercial software, not a CRM and not a replacement for CAD construction planning. The garden plan is a top view with concept accuracy, not working drawings. GardenPilot complements your software in the sales and concept phase.
Do I need industry software for GardenPilot?
No. GardenPilot runs in the browser and does not need any other software. You upload a photo, work in the partner area and pass the results on to the client as a PDF or link.
